Step 4 — Manage Orders
Once your AI Sales Agent is live, orders will start appearing in your dashboard automatically. This page explains how to view, process, and fulfil orders.
Viewing orders
Go to Shop → Orders from the left sidebar. You will see a list of all orders with the following information:
| Column | Description |
|---|---|
| Order ID | Unique identifier for the order |
| Customer | Customer name and Instagram handle |
| Items | Number of products ordered |
| Total | Order value |
| Status | Current status (New, Confirmed, Shipped, Delivered, Cancelled) |
| Date | When the order was placed |
Click any order to see the full details including the customer’s delivery address and the complete list of items.
Order statuses
| Status | Meaning |
|---|---|
| New | Order just received — not yet reviewed |
| Confirmed | You have acknowledged the order |
| Shipped | Order has been dispatched |
| Delivered | Order delivered to the customer |
| Cancelled | Order cancelled |
Processing an order
- Open the order from Shop → Orders
- Review the items, quantities, and delivery address
- Update the status to Confirmed once you are ready to fulfil it
- Print the fulfilment slip using the print button — this contains all the details you need to pack and dispatch the order
- Update the status to Shipped once dispatched
- Mark as Delivered once the customer confirms receipt
When you update an order status, you can optionally send a message to the customer via their Instagram DM informing them of the update. This helps build trust and reduces follow-up messages.
Printing fulfilment slips
Every order has a printable fulfilment slip. Click Print Slip on the order detail page. The slip includes:
- Customer name and delivery address
- List of ordered items with quantities
- Order ID and date
- Any special instructions from the customer
Cancelling an order
To cancel an order, open it and click Cancel Order. You will be asked to provide a reason. The customer can be notified automatically via DM.
